The Charlotte Private School Application Timeline: What Every Parent Needs to Know

If there is one thing I wish someone had told me before I started the Charlotte private school application process it is this —

It is longer, more involved and more time sensitive than you think 

When I went through the process for the first time I had no idea what was ahead of me. I thought applying to a private school was similar to applying to a public school — fill out a form, submit it and wait for a response.

I was wrong 

The Charlotte private school application process, especially for the most competitive schools,  involves multiple steps, multiple deadlines and multiple assessments happening simultaneously. Miss one and you could lose your spot entirely.

I have been through this process multiple times now and each time I learned something new. Each time the process felt different. And each time I wished I had a clearer roadmap from the beginning 

This blog gives you that roadmap,  a general overview of what to expect and when. Please note there is much more involved in each of these phases than what is covered here. This is your starting point, not your complete guide 

BEFORE WE START — WHAT MAKES CHARLOTTE DIFFERENT

Charlotte is not just any private school market 

With over 100 private schools in Mecklenburg County alone,  more than any other county in North Carolina, Charlotte has one of the most competitive private school landscapes in the Southeast.

And since Covid that competition has intensified dramatically. Families relocating from cities like New York, New Jersey, Los Angeles, Connecticut and Massachusetts, Chicago where private school culture is deeply embedded — arrived in Charlotte ready to apply. Add returning Charlotte alumni and parents who discovered private school during the pandemic and you have a market where spots fill up faster than ever before 

Understanding the timeline is not just helpful — it is essential.

THE OVERVIEW — WHAT HAPPENS AND WHEN

Here is a general overview of the Charlotte private school application season 

📅 JUNE — AUGUST: THE RESEARCH PHASE

Most families think the application process starts in the fall. It does not 

The smartest families start their research over the summer — giving themselves time to explore school types, narrow down their list and prepare before open house season begins.

What to do during this phase:

  • Research the different types of private schools in Charlotte

  • Identify 3-5 schools that feel like a potential fit

  • Understand each school's grade entry points and age requirements

  • Start budgeting — and budget for more than just the first year (tuition increases 2-7% annually)

📅 SEPTEMBER — OCTOBER: OPEN HOUSE SEASON

This is one of the most important phase of the entire process 

Most Charlotte private schools host their open houses between September and November — and this is your opportunity to visit campuses, meet admissions teams and get a real feel for each school.

What to do during this phase:

  • Attend as many open houses as possible

  • Bring your checklist and take notes at each school

  • Pay attention to how the school makes you feel — not just what they say

  • Ask the right questions (technology use, outdoor play time, student teacher ratio, how they handle learning differences)

  • Narrow your list down to your top 2-3 schools 

Important: Some schools have limited open house dates — register early as they might fill up fast! 

📅 NOVEMBER — DECEMBER: APPLICATION SEASON

This is where most families feel the most pressure — and for good reason 

Application windows open during this period and many of Charlotte's most competitive private schools have early deadlines that catch families completely off guard.

What to do during this phase:

  • Submit applications before the deadline — do not wait until the last minute

  • Gather all required documentation

  • Request teacher recommendations early — teachers need time to write them thoughtfully 

  • Schedule any required assessments (more on this below)

  • Pay application fees for each school

Important — know your deadlines: 

Application deadlines for Charlotte private schools vary by school type and grade level:

🎓 Independent & Large Christian Schools (Big Three + large Christian schools)

  • TK and K applicants have earlier deadlines than other grade levels

  • Upper grade applicants generally have a later deadline

  • Teacher recommendations and assessments have their own separate deadlines 

⛪ Catholic Schools (MACS schools)

  • Catholic schools generally operate on their own separate timeline — typically running about a month later than the independent and larger Christian schools 

Always confirm deadlines directly with each school's admissions office — deadlines change every year and vary by grade level. Do not assume all schools follow the same schedule 

A word on juggling multiple applications 

If you are applying to 3 or 4 schools simultaneously — which many Charlotte families do — please know that managing multiple timelines, checklists, assessment appointments and deadlines at the same time is genuinely stressful 

Each school has its own:

  • Application portal and login

  • Required documents and forms

  • Assessment scheduling process

  • Teacher recommendation submission system

  • Application fee

  • Separate deadlines for each component 

It is essentially running 3 or 4 separate applications at the same time — each with moving parts and tight deadlines.

My honest advice:

  • Create a separate checklist for each school 

  • Use a calendar to track every deadline for every school

  • Submit everything at least one week before the deadline — not the night before!

  • Communicate clearly with your child's teacher early — they are submitting recommendations for multiple families

📅 WHAT MOST PARENTS DON'T KNOW — THE ASSESSMENT PROCESS

This is the part of the Charlotte private school application process that surprises families the most 

For TK and Kindergarten applicants especially — the application form is just one piece of a much larger puzzle. Most competitive Charlotte private schools require multiple additional components beyond the application itself.

These additional components have their own separate deadlines — and missing any one of them can cost your child their spot 

This is where the process becomes significantly more complex — and where having the right detailed information makes all the difference.

📅 FEBRUARY — MARCH: DECISIONS AND FINANCIAL AID

This is the waiting phase — and it can feel like the longest few weeks of your life!

What happens during this phase:

  • Admissions decisions are sent to families

  • Financial aid award letters are issued

  • Many schools release decisions around the same period — creating a very intense decision making time for families 

  • Waitlist notifications are also sent during this period

Important: If your child is waitlisted — do not panic! Charlotte private school waitlists move. Having a strategy for the waitlist period is essential

📅 MARCH — APRIL: ENROLLMENT AND DEPOSITS

This is the final phase — and it comes with its own set of deadlines 

What happens during this phase:

  • Enrollment deposit deadlines arrive — usually within 2-3 weeks of your decision letter

  • Families confirm their school choice by submitting an enrollment deposit

  • Waitlists continue to move as families decline offers

  • New student orientation and enrollment paperwork begins

Important: Enrollment deposits are typically non refundable — so make sure you have made your final decision before submitting

WHY SPOTS ARE MORE LIMITED THAN YOU THINK

Here is something most Charlotte families discover too late — and it completely changes how you should approach the application process 

When a Charlotte private school advertises spots for an incoming TK or Kindergarten class the actual number of available spots for new families is significantly smaller than you might expect 

Here is why:

👨‍👩‍👧 Siblings get priority
Most Charlotte private schools give priority placement to siblings of currently enrolled students — and rightfully so! But this means a large portion of available spots are already spoken for before a single new application is reviewed 

🎓 Legacy and alumni children get priority

Some Charlotte private schools also give priority consideration to children and grandchildren of alumni — families with a long history at the school. This is known as a legacy admission and it is more common than most new families realize

👩‍🏫 Faculty children get priority
Many Charlotte private schools also offer priority placement or tuition benefits to children of faculty and staff — further reducing the number of spots available to new applicant families 

📊 What this means for you:
The actual number of spots available to new families is much smaller than most people expect

Think about it this way — by the time siblings, legacy and alumni children and faculty children are given priority placement the remaining spots for brand new families can be surprisingly limited — even at schools with larger TK and Kindergarten classes 

This is one of the biggest reasons families are shocked when their child does not get in — they did not realize how few spots were actually available to new families in the first place 


My honest advice:

  • Apply to at least 3-4 schools — not just your first choice 

  • Rather than asking how many spots are left after priority placements — which admissions offices are unable to share — instead ask:

  • "What is the class size for the incoming TK or Kindergarten class?"

  • Approximately how many students do you typically enroll at this grade level each year?"

This gives you a general sense of the class size and helps you gauge how competitive the entry point is

  • Have a waitlist strategy ready before decision day 

  • Consider applying to schools where your child has a stronger chance alongside your reach schools

THE BIGGEST MISTAKES CHARLOTTE FAMILIES MAKE

After going through this process three times and helping dozens of Charlotte families navigate it — here are the most common mistakes I see:

Starting too late — The most common mistake. By October many families are already behind
Only applying to one school — Always have a backup plan
Missing assessment deadlines — The application deadline and the assessment deadline are often different dates
Forgetting teacher recommendations — Teachers need time — ask early and give them plenty of notice
Ignoring the waitlist strategy — Being waitlisted is not a rejection — it is an opportunity if you know how to handle it
Assuming all schools follow the same timeline — They do not — always verify directly with each school
  ❌ Not finding out the class size — Instead of asking how many spots are available for new families (which admissions offices are unable to share) — ask about the overall class size or how many students are typically enrolled at that grade level each year. This gives you a realistic picture of how competitive that entry point actually is

THE BOTTOM LINE

The Charlotte private school application process is one of the most time sensitive and detail oriented processes a family will go through 

But with the right information — at the right time — it is absolutely manageable.
